Importing Microsoft Word documents
You can import Microsoft Word files (.docx) in Editoria. Files can be uploaded individually or in a batch. The contents of each file will be converted to HTML. For best results use style tags in the original Word file to give your document structure. If you have used visual styles (no headings tags are present), the conversion process will approximate a semantic structure. You will need to review the structure of your converted content in Editoria and apply styles to create the correct structure. Note that when preparing Word documents for conversion you should remove headers and footers.
Instructions for uploading a single Word file
To upload a file:
Add a new blank Component or Chapter.
Select the Upload Word button.
Browse to and select the file. Click open.
Instructions for batch uploading Word files
To batch upload Word files:
To place content in the correct position within the book, change the file names before batch uploading (see below).
On the Book Dash, select Edit next to your book’s title to enter the Book Builder.
Select Upload Word Files in the upper left of the screen.
Navigate to the folder containing your book’s Word files.
Use your operating system’s method to select multiple files.
Click “open.”
Files will begin uploading.
You may reorder uploaded files by clicking and dragging on the three dots to the left of the content title.
How to name your files before batch uploading
The batch upload feature requires the use of naming conventions that identify where the file will be placed within the structure of the book. File names must start with the appropriate letter and number. The number determines the order in which the uploaded files will be placed within the appropriate section. Note that newly uploaded files will always appear after previously uploaded/created content. The order number in the file name determines placement among the other content being batch processed.
For Frontmatter content, begin the file name with the letter “a” followed immediately by a number indicating its placement. Specific frontmatter components can be indicated by adding additional 2-3 letter codes to each file name (see the table below).
For Parts (Body content), begin the file name with a letter between “b” and “v” followed by “pt0” followed by a number representing the order of parts within the book. Note that as you add parts and related chapters that Parts numbers are consecutive throughout the book. For example, a file for part one could be “b pt01 Part One.docx” and a related chapter would be “b1 chapter one.docx”. For part two, the file name would be “c pt02 Part Two.docx” and related chapter “c1 chapter four.docx”.
For Chapters (Body content), begin the file name with a letter between “b” and “v” followed immediately by a number indicating its placement within its related part.
For Backmatter content, begin file names with the letter “w” followed immediately by a number indicating its placement.
Any files that do not use this naming convention will be placed in the Body section.
By default, the file name will appear as the title for the uploaded content in the Book Builder. If the Word document begins with a word or phrase styled with a Title tag, this will replace the file name as the title in the Book Builder after you edit that content in the Book Builder the first time.
