Track changes

Track changes in Editoria is similar to text editing tools found in other word processors, such as Microsoft Word. Note that track changes works with text only. This tool marks text that has been added or deleted or when changes have been made to formatting. Changes are underlined and displayed in a different color so users can see where changes have been made. Inserted text is blue. Deleted text is blue and struck-through. During the Review phase of the workflow, Authors or Production Editors can select text that contains tracked changes and choose to accept changes. Authors cannot reject tracked changes from the editors. When an Author disagrees with an edit, they should leave a comment suggesting the change be rejected. Authors cannot accept their own changes.

Suggest changes

  1. Select Edit in the Book Builder for the content you are working on.

  2. Switch from Editing to Suggesting in the upper right of the toolbar.

  3. Make suggestions, changes, add comments.

Accept/reject changes

  1. During the Review phase of the Workflow, select Edit in the Book Builder for the content you would like to work on.

  2. On the right side of the screen you will see a count of the number of Comments or suggestions along with an Expand icon (three dots arranged horizontally).

  3. Use your cursor to select the first suggestion you would like to accept, or reject.

  4. Once the suggestion is highlighted, select the Expand icon on the Comments or Suggestions bar to select Accept in Selection or Reject in Selection.

  5. Repeat this process until you have resolved all suggested edits/changes.

Hide suggestions

To see what your content would look like if all changes were accepted, all suggestions can be temporarily hidden. Each suggestion will still need to be accepted or rejected.

  1. During the Review phase of the Workflow, select Edit in the Book Builder for the content you would like to work on.

  2. On the right side of the screen you will see a count of the number of Comments or suggestions along with an Expand icon (three dots arranged horizontally).

  3. Select the Expand icon on the Comments or Suggestions bar to select Hide Suggestions.

  4. Repeat the process, this time selecting Show Suggestions to return to the review process.
